Job Description

We are looking for an experienced and highly organized Executive Assistant to support a dynamic executive team based in Puerto Rico. This is an exciting opportunity to work in a fast-paced environment and play a key role in optimizing operations and improving productivity. You'll assist with administrative, operational, and organizational tasks, allowing the executive team to focus on strategic initiatives.

In this role, you will coordinate critical aspects like schedules, travel, and property management, contributing to a seamless workflow. Your efforts will directly impact the company's goal to boost rental revenue by 15% in the upcoming quarter while maintaining exceptional guest experiences.

Key Responsibilities:

Executive Support:

Provide personalized administrative support, including managing appointments, reservations, and personal tasks.
Coordinate schedules across multiple time zones, arranging meetings, and handling changes with efficiency.
Project Management:

Manage project deadlines and deliverables using project management tools.
Oversee document management by ensuring digital files are organized and secure.
Travel and Event Coordination:

Plan and coordinate travel arrangements, including creating itineraries and tracking expenses.
Organize company events, including team-building activities, corporate functions, and client presentations, ensuring everything runs smoothly.
Immediate Tasks (Week 1):

Familiarize yourself with the executives' schedules and communication styles.
Organize internal and external meetings, ensuring agendas and reminders are set.
Set up travel arrangements and assist with managing the executive's email inbox.
Streamline digital file organization for quick access.
Participate in meetings with key stakeholders.
Required Qualifications:

3-5 years of experience as an executive assistant, preferably in a tech or startup environment.
Proven experience managing complex schedules and international travel logistics.
Proficiency in digital tools like Google Workspace, Slack, and project management software.
Highly adaptable with the ability to thrive in a fast-paced environment.
Discreet and professional when handling sensitive information.
Must-Haves:

Strong technical proficiency, especially with digital tools to organize tasks and information.
Creative and scrappy problem-solving abilities.
Typing speed of 40+ words per minute.
Fluent in English and Spanish (both written and spoken).
Proficiency with tools like Google Workspace and Microsoft Office.
Ability to manage sensitive and confidential information with discretion.
Nice-to-Haves:

Experience working with startups.
Familiarity with the Clay CRM tool.
Tools and Communication Channels Used by the Team:

Google Workspace for email, file sharing, and document collaboration.
Telegram and Signal for internal communication.
